Inclusive or exclusive: the part templates get wrong

A downloadable Word or Excel invoice template has one job it cannot do — arithmetic you can trust. The most common error on small business invoices is mixing up GST-inclusive and GST-exclusive pricing, and it is an easy mistake because the two look identical on the page until someone checks the total.

If you quoted a client $1,150 including GST, the GST component is not 15% of $1,150. It is $150 — because the GST-exclusive figure was $1,000. Working backwards from an inclusive price means dividing by 1.15, not multiplying by 0.15, and getting it wrong overstates the GST by more than 17%. Do that on a $20,000 job and it is a real problem, not a rounding error.

This template asks you one question — are your prices tax exclusive or tax inclusive — and then does the calculation correctly in both directions, always showing the GST component as a separate line, which is what a compliant tax invoice requires. Switch the rate to 10% for Australia, 20% for UK VAT, or type any custom rate.

The short version. A compliant tax invoice needs the words tax invoice, your business name and GST number, the date, a description of what you supplied, and the amount payable with the GST shown separately or stated as included. Over $1,000 you also need the buyer's name and address. Questions people actually ask

Can I edit this template in Word or Excel instead?

There is no file to download and edit — that is deliberate. A Word or Excel invoice template cannot be trusted to do the GST arithmetic, and mixing up inclusive and exclusive pricing is the most common error on small business invoices. You fill this in online and download a finished PDF, so the maths is done for you and the layout cannot break.

Does it handle GST-inclusive prices?

Yes, in both directions. Choose 'GST inclusive' and the tool works backwards from your total to show the GST component as its own line — dividing by 1.15 rather than multiplying by 0.15, which is where hand-built templates usually go wrong and overstate the GST by more than 17%.

Can I use a rate other than 15%?

Yes. Set the rate to 10% for Australian GST, 20% for UK VAT, or type any custom figure. The wording, the totals and the tax line all follow the rate you choose.

Which layout should I pick?

All three are compliant, so it is presentation only. The default suits most businesses, the compact layout fits more line items on one page, and the detailed layout gives each item more room for description — useful when you are itemising materials or billing against a scope of work.

Is this invoice generator really free?

Yes. There is no signup, no watermark, no invoice limit and no trial that expires. The site is paid for by the ads around the tool and by affiliate links to accounting software. The invoice you create is yours.

Where is my data stored?

In your own browser, and nowhere else. There is no account and no server database — your business details, logo and last invoice are saved to your browser's local storage so they are still there next time you visit. Clearing your browser data removes them, and using a different device means starting fresh.

How do I save the invoice as a PDF?

Click Download PDF. Your browser's print dialog opens with the invoice already laid out to A4 — choose 'Save as PDF' as the destination. This produces a smaller, sharper file with selectable text, which is exactly what accounting software and clients want.
